Primary objective of the job

 

The Administrative Assistant will provide high-level administrative and executive support to the Regional CEO and the Senior Leadership Team (SLT). This critical role ensures the efficient operation of the CEO’s office by managing schedules, coordinating meetings, preparing agendas, recording minutes and maintaining strict organization and confidentiality. The successful candidate will act as a trusted partner to the CEO, enabling effective decision-making, communication and execution of strategic priorities.

 

Main Duties and Responsibilities:

  • Manage and coordinate the Regional CEO’s calendar, including scheduling internal and external meetings, prioritizing engagements and ensuring optimal use of time. 
  • Plan, organize, and confirm meetings across the region, including preparation of agendas, meeting materials and pre-reads. 
  • Attend meetings with the Regional CEO and SLT,track action items and ensure timely follow-up. 
  • Serve as a central point of coordination between the Regional CEO, SLT, internal teams, and external stakeholders. 
  • Ensure the Regional CEO is well prepared and fully briefed for all meetings, travel, and engagements. 
  • Maintain organized electronic and physical filing systems for confidential documents, correspondence and records. 
  • Support preparation of reports, presentations, briefing notes, and correspondence on behalf of the CEO. 
  • Coordinate local travel logistics, meeting arrangements, and administrative requirements as needed. 
  • Exercise sound judgment, discretion and confidentiality when handling sensitive information. 
  • Provide administrative support to the Senior Leadership Team as required. 
  • Continuously assess and improve administrative processes to enhance efficiency and professionalism within the CEO’s office. 

 

Academic qualifications and experience required for job:

 

  • A minimum of three 3 to five 5 years of progressive administrative experience supporting senior executives. 
  • Bachelor of Science (BSc) in Business Administration, Office Administration or a related field or equivalent combination of education and experience. 
  • Demonstrated high level of intellectual capability, professionalism and attention to detail. 
  • Proven experience managing executive calendars and coordinating high-level meetings. 
  • Strong written and verbal communication skills, including experience preparing meeting minutes and professional correspondence. 
  • High proficiency in Microsoft Office applications (Outlook, Word, Excel, PowerPoint) and related productivity tools.

Additional Requirements

  • Willingness and ability to travel locally as required. 
  • Availability to attend meetings outside standard working hours when necessary. 
  • Eligibility to work in the Cayman Islands.
