Primary objective of this role:

To provide personal assistance to the Chief Executive Officer; to assist with the organization’s administrative operations and be a support for the Prism Services team.

 

 

Main Duties and Responsibilities:

  • Provide administrative support to the CEO in managing his diary, the organization of meetings and the maintenance of confidential documents and files
  • Provide support to the CEO in the prioritization of his workload and responding appropriately and filtering requests on his behalf
  • Provide administrative and secretarial support including the organizations of meetings, preparation of agendas, Minutes and papers. Liaising with Directors as required.
  • Arrange travel, accommodation and transport for the CEO and the Prism Executive team
  • Collaborate with the Prism team and help to prepare presentations, proof-read documents and distribution when needed
  • Act as the point of contact for all participants and take the initiative to develop and maintain good relationships with key internal and external teams to become the ‘go-to’ person for team advice and support
  • Work proactively with the CEO and Executive to deliver effective communications within the group
  • Prepare and provide documentation to internal teams and key stakeholders

 

 

Academic Qualifications and Experience required for position:

  • BSc/BA in Business Administration or a related field
  • Excellent organizational and multitasking abilities
  • A team player

 

 

Functional Skills:

  • Excellent oral and written communication and influencing skills
  • Excellent Microsoft Excel, Word and PowerPoint skills
  • A drive for results and an instinct for being resourceful and thinking innovatively
  • An ability to work alone or in a team
  • Ability to manage shifting priorities, demands and timelines effectively prioritizing and executing tasks in a high-pressure environment
