JOB TITLE:
Sales Admin
Primary objective of the job:
The Administrative Officer – Sales Operations provides critical support to the Sales and Operationsteams by managing administrative processes, ensuring smooth coordination across departments, andmaintaining accuracy in sales data and financial records. This role plays a key part in maintaining operational efficiency, data integrity, and exceptional customer experience.
Key Objectives:
1 Administer the Digicel+ sales and installation process from sign-up to billing.
2 Extract, analyze, and present sales and performance data when required.
3 Validate and process team salaries, ensuring accuracy and timely submission.
4 Manage Customer Relationship Management (CRM) case queues, ensuring timely resolution and proper case documentation.
Main Duties and Responsibilities:
- Conduct quality checks and validation calls to minimize churn and ensure a positivecustomer experience.
- Accurately enter all installation and sales details into the designated system (HeadEnd).
- Liaise with cross-functional teams (e.g., Billing, Technical, and Customer Care) to ensuresmooth progression of customer activations.
- Administer and update Maps, including management of missing PIN information and
- related customer support.
- Provide customer care support for agents handling complex customer queries.
- Maintain and update all Digicel sales trackers, ensuring data accuracy.
- Keep records of sales incentives, promotions, and campaign results.
- Prepare periodic performance and sales summary reports for management review.
- Raise requisitions for departmental needs and track approvals.
- Reconcile prepayments and credit card payments, ensuring records are accurate.
- Process rebates and manage supporting documentation.
- Support HR with contractor setup, system access, and profile management.
- Administer migration and relocation requests as required.
- Assist with IPTV support and related administrative processes.
- Oversee mailbox management, ensuring all customer and internal queries are respondedo within SLAs.
- Conduct customer call-backs to verify resolution or gather feedback.
- Provide ongoing administrative support to the Sales Manager and Team Lead.
- Participate in team meetings and provide operational insights or recommendations for process improvement.
- Support new initiatives and special projects as assigned by management.
- Maintain a professional and customer-centric approach in all communications.
Academic qualifications and experience required:
- Minimum of three (3) CXC (Caribbean Examination Council) CSEC subjects, including
- English Language and a numerical subject (Accounts, Mathematics, or Physics), or equivalent qualification.
- Qualifications/ Certifications in Business Administration, Marketing, Business Development will be considered an asset.
- Minimum one (1) year in an event execution or logistics role
Knowledge, Skills and Abilities required:
- Strong organizational and multitasking skills
- Excellent communication and interpersonal abilities
- High attention to detail and data accuracy
- Proficient in Microsoft Office (Excel, Word, Outlook) and CRM systems
- Analytical mindset with problem-solving capabilities
- Ability to work collaboratively under tight deadlines
