Primary objective of the job: 

 

We are seeking a meticulous and dependable Data Entry Clerk to support the Privacy, AI & Data Governance function by organizing, digitizing, and uploading legacy legal and contractual records into our document and contract management platform. This role will play a critical part in creating and maintaining manifest logs that facilitate easy retrieval and tracking of sensitive files. It requires discretion, attention to detail, and the ability to work with highly confidential information.

 

Main Duties and Responsibilities:

 

  • Legacy File Management: Review, sort, and categorize historical documents and contract-related records for upload and archival
  • Digital Filing: Accurately input metadata and upload files into the document and contract management platform
  • Manifest Creation: Prepare detailed manifest documents to track uploaded files and support structured retrieval within the legal and compliance ecosystem
  • Compliance Monitoring: Monitor privacy and data governance platforms for outstanding tasks or non-compliance flags and follow through to ensure resolution, escalation, or documentation as required
  • Data Validation: Cross-reference digital entries with physical documents to ensure consistency and accuracy
  • Document Handling: Scan, rename, and format paper documents into standardized digital formats
  • Audit Trail Support: Maintain detailed logs and change history to support compliance and future audit-readiness
  • Confidentiality Maintenance: Handle all records in accordance with privacy, confidentiality, and data protection policies
  • Collaboration: Work closely with the Group Privacy Team and other stakeholders to prioritize and track file upload progress
  • General Administrative Support: Assist with document indexing, file labelling, data cleansing, and other duties as required

 

Academic Qualifications and Experience Required:

 

  • Minimum Education Required: High school diploma or equivalent.
  • Preferred: An additional associates degree or certification in information management or data administration is a plus.
  • Experience: 1–2 years in data entry, records management, or administrative support, preferably in a legal, compliance, or regulated environment

 

Functional Skills:

 

  • Technical Proficiency: Familiarity with document management systems (e.g., SharePoint, DocuSign, or similar) and Microsoft Office Suite, especially Excel and Word
  • Attention to Detail: High degree of accuracy and efficiency in data entry and document handling
  • Confidentiality: Demonstrated ability to work with sensitive or confidential information discreetly
  • Organizational Skills: Strong ability to manage workload, track progress, and meet tight deadlines without compromising quality
  • Communication: Clear and professional communication, both verbal and written; able to escalate issues appropriately
