Create exceptional spaces where people and business thrive. As Facilities, Site & Property Executive, you will drive the performance, compliance, and efficiency of our property portfolio. You'll play a key role in delivering safe, sustainable, and well-managed environments through effective facilities, housing, and stakeholder management.

 

Main accountabilities:

 

(Daily tasks) Housing & Residential Management

 

  • Coordinate the company's housing programme in accordance with approved housing policies, guidelines, and allowance structures.
  • Source suitable accommodation through effective engagement with real estate agents, landlords, and property managers.
  • Support expatriate employees in securing short-term and long-term accommodation to facilitate a seamless onboarding experience.
  • Maintain accurate and up-to-date records of all housing arrangements, lease agreements, and company-occupied residential properties.
  • Oversee the maintenance of residential rental properties, ensuring timely repairs and upkeep to agreed standards.
  • Coordinate the payment of rent, property taxes, insurance premiums, and other housing-related expenses.
  • Conduct regular property inspections to ensure compliance with housing regulations, building codes, and fire safety requirements.
  • Build and maintain strong relationships with landlords and property managers to ensure high service standards and responsive issue resolution.

 

Stores and Other Commercial Properties

  • Support the management of the company's portfolio of retail stores, offices, warehouses, and technical facilities.
  • Coordinate maintenance and repair activities for commercial properties, ensuring timely follow-up and resolution with property managers and contractors.
  • Assist in the planning and execution of preventive and corrective maintenance programmes for building systems, including HVAC, electrical, and plumbing infrastructure.
  • Ensure compliance with occupational health and safety standards, fire safety regulations, and other statutory requirements.
  • Monitor operational costs and utility consumption, identifying opportunities to improve efficiency and optimize expenditure.
  • Manage vendor relationships, including onboarding, vendor setup, payment processing, and performance evaluation.
  • Support space planning initiatives, office refurbishments, and workplace enhancements to improve operational effectiveness and employee experience.
  • Contribute to sustainability and environmental initiatives, including waste management, energy efficiency, and resource conservation programmes.

 

 

Site Leases

  • Assist with the preparation, execution, and tracking of Commercial Service Forms (CSFs) and lease documentation for telecommunications and operational sites.
  • Maintain accurate lease records, ensuring all agreements are properly documented, up to date, and easily accessible.
  • Coordinate lease payments, reconciliations, and rent reviews in accordance with contractual terms and agreed timelines.
  • Support lease payment processing and reconciliation activities, ensuring accuracy and timely completion.
  • Liaise with landlords and key stakeholders to resolve lease-related matters and ensure compliance with lease obligations.
  • Support site acquisition, assessment, and evaluation activities as required.
  • Ensure lease-related financial transactions are accurately documented and aligned with internal controls, governance requirements, and reporting standards.

Provide operational and administrative support, undertaking other duties as assigned to support business objectives.

 

Operational & Administrative Support

  •  Provide relief support at the reception desk when required, ensuring continuity of front-office operations.
  •  Perform administrative functions including preparation and submission of overtime reports and departmental documentation.
  •  Manage vendor payments by ensuring proper documentation, approvals, and timely processing in accordance with company procedures.
  •  Process utility payments, including services from National Water Commission and Flow Jamaica, ensuring accuracy and timeliness across multiple locations.
  •  Prepare and submit Spend Control Tower (SCT) requests in line with internal approval and governance processes.
  •  Support project-related activities, including receipting, documentation, and tracking of deliverables.
  • Coordinate with internal teams and external service providers to ensure seamless execution of facilities-related activities.
  • Maintain accurate records of certifications, inspections, warranties, and compliance documentation.
  • Assist with audits by providing required documentation and ensuring adherence to internal controls and procedures.

Support emergency response activities and contribute to business continuity and disaster recovery efforts.

 

Qualifications, knowledge & experience: 

First Degree in Business Administration, Management, or a related field

2+ years of professional experience, preferably in facilities, housing, real estate, or property administration
Results driven with proven ability to deliver in a challenging and fast-paced environment

 

 

Functional skills and abilities: 

  • Microsoft Office proficient (Work, Excel and PowerPoint)
  •  Effective communicator – both orally and written.
  •  Problem solving skills and solution driven
  • Sound knowledge of property management and local real estate market
  • Financial and budget awareness
  • Diligent and meticulous with an eye for detail
  • Ability to meet deadlines & consistently perform under pressure
  • Strong organizational and documentation management skills
