This role will be base in Tonga and accountable for the administrative, tax and compliance and financial support to the Hub Finance team. Also needs to ensure and assist in proper and accurate financial results. Overlook all aspects of financial operations on ground.

The role also responsible to organize and coordinate office administration and procedures for the CEO – Tonga, Manage Facilities & Fleet Departments to ensure organizational effectiveness, efficiency and safety. The incumbent is responsible for developing intra-office communication protocols, streamlining administrative procedures, inventory control, office staff supervision and task delegation.

 

Key Responsibilities:

 

Planning

  • Ensure proper compliance with Statutory bodies. Mainly IRD and RBF.
  • Timely and correct lodgement of statutory returns including super, PAYE and CT for both DTL and DMV.
  • Manage cashflow,  payments and overall DMM business.
  • Assist in performaing all tasks necessary to achieve the revenue and EBITDA targets without jeopardizing the financial integrity and governance.
  • Partciplate in developing new business opportunities

 

Operations

  • Maintain in-depth relations with all members of the management team
  • Manage the day to day accounting functions and ensuring timely deliverables of information to the Hub Finance team
  • Implement operational best practices
  • Overall in-charge of debt collections
  • Ensure correct stock reporting and management
  • Managing overall cashcount and petty cash compliance

 

Financial Information

  • Assist the SFM in overseeing the management and coordination of all fiscal reporting activities for the company including: organizational revenue/expense and balance sheet reports, reports to group fiinance and external parties.
  • Ensure adequate controls are installed and that substantiating documentation is approved and available such that all internal and external audits are passed with satisfactory ratings.\

 

Administration

  • Organize and schedule meetings and appointments for CEO - Tonga
  • Partner with HR to maintain office policies as necessary
  • Manage relationships with vendors, service providers and landlord, ensuring that all items are invoiced and paid on time
  • Manage contract and price negotiations with office vendors, service providers and office lease

 

  • Responsible for managing office services by ensuring office operations and procedures are organized, correspondences are controlled, filing systems are designed, supply requisitions are reviewed and approved and that clerical functions are properly assigned and monitored
  • Ensure office efficiency is maintained by carrying out planning and execution of equipment procurement, layouts and office systems with the Procurement team.
  • Responsible for developing and implementing office policies by setting up procedures and standards to guide the operation of the office
  • Manage the Facilities & Fleet Team and ensure that the day to day operations for both teams is well planned.
  • Ensure top performance of Facilities & Fleet staff by providing them adequate coaching and guidance
  • Participate actively in the planning and execution of company events and responsible for developing standards and promoting activities that enhance operational procedures
  • Ensure filing systems are maintained and current including Fleet Vehicle Policy.
  • Review and approve office supply acquisitions.
  • Maintain a safe and secure working environment
  • Ensure general insurance cover is renewed on a timely basis
  • Assist the OHS Committee with any request for office improvements.
  • Any other task assigned by line manager
