Primary Objective: 

Coordinate all aspects of the day-to-day Human Resources operations functions needed (e.g. correspondence generation, record keeping, file maintenance, HRIS entry/accuracy, to ensure that the people element of the company is aligned with the strategic and operational goals of the business.

 

Main Duties and Responsibilities: 

  • Work closely with the Head of HR to ensure delivery of a professional and effective HR service, ensuring compliance to all policies and leading by example in our Digi values;
  • Assist with the end-to-end recruitment process including conducting of interviews and onboarding and offboarding actions;
  • Administer payroll and benefits within the Company with final approval by Head of HR. Ensure that payrolls are processed on time with accurate information. Ensure that all administrative tasks relating to medical and pension schemes are completed including enrollments, changes and terminations, payments and record keeping.
  • Process monthly billings from insurance/pension providers. Review billings for accuracy, codes and advances for payment. Resolve discrepancies with carriers, payroll and the company. Complete reports for management as requested.
  • Assist with the tracking and compilation of monthly and ad hoc HR reports
  • Process vacation accruals, tracking of all absences ensuring company policy is being followed and appropriate correspondence is sent to employees as appropriate.
  • Assist with the processing and dissemination of HR correspondence regarding contractual changes, employee letters, and immigration documentation, amongst others.
  • Conduct monthly/quarterly audits where applicable on all employee files to ensure the relevant information are on files. Ensure that all documentation is in place, physically and digitally. Particular focus on the new hire and termination checklists.
  • Ensure the appropriate filing, cataloging and tracking of all HR records, managing the HR documentation requirements and ensuring that all required documentation is received, filed and meets both audit and statutory requirements
  • With the support of Head of HR and Group ER/IR, participates in disciplinary matters as they arise. This can include participating in Investigations, responding and resolving employee complaints related to benefits, policies and process; refer all difficult or very complex complaints to Head of HR as needed.
  • Work closely with Head of HR to maintain strong employee relations through addressing concerns/issues raised by both management and staff, providing advice and guidance within the context of the grievance and disciplinary procedures, labour legislation and best practice
  • Facilitate a culture of recognition and celebration through the administration of the company’s reward and recognition system
  • Assist on special projects and other HR initiatives as required
  • Assist with planning events, business travel into market and any execution support required by SMT, Head of HR or Social Club.

 

Academic qualifications and experience: 

 

  • BSc in Management Studies, Human Resource Management or Social Sciences; and 2 – 3 years’ experience in a similar capacity, Or, Diploma/Associate Degree in Human Resources or Social Sciences from a recognized institution; and 3 – 5 years’ experience in a similar capacity
  • Working knowledge of Microsoft office suite
  • Must have a thorough understanding of HR best practices
  • Experience of managing, coaching and developing a team.
  • Two (2) years’ experience in Human Resources Management.
  • Working knowledge of project management techniques
