JOB TITLE: Regional Coordinator (Internal/ External)

REPORTS TO (TITLE): Regional Operation Manager
PRIMARY OBJECTIVE OF THE JOB
PRIMARY OBJECTIVE OF THE JOB
To Provide Regional Operational and Administrative Support for the purposes of ensuring and delivering Optimum efficiency in all areas.
MAIN DUTIES AND RESPONSABILITIES
- Provide comprehensive administrative support to the Regional Office, including the drafting and preparation of correspondence, memos, and other official documents.
- Prepare purchase orders (POs), cash advances, and expense claims, and ensure proper follow-up to guarantee timely processing and payment.
- Coordinate all travel arrangements for regional staff, both domestic and international, ensuring compliance with company travel policies.
- Prepare, consolidate, and maintain key operational reports, including leave tracking reports, staff absenteeism reports, fuel cosumption and vehicle mileage logs, and inventory reports.
- Ensure proper reconciliation of regional petty cash and timely submission of supporting reports to Head Office for processing and audit purposes.
- Assist in the preparation and formatting of regional presentations and support materials for meetings and business reviews.
- Liaise with the distribution team to ensure the efficient and timely dispatch, receipt, and tracking of goods within the region.
- Maintain the regional office in a clean, organized, and professional condition in alignment with corporate branding and workplace standards.
- Track, update, and maintain maintenance schedules and service records for all regional fleet vehicles to ensure operational reliability and compliance.
- Ensure that all regional staff are provided with the necessary tools, materials, and resources required to effectively perform their duties.
ACADEMIC QUALIFICATIONS AND EXPERIENCE REQUIRED
- Diploma or bachelor’s degree in business administration, Management, or a related field
- Minimum of 2–3 years’ experience in an administrative or office support role
- Experience in office coordination and administrative support
- Experience in logistics coordination and organizing internal travel arrangements
FUNCTIONAL SKILLS
- Strong organizational and time management skills
- Good interpersonal and communication skills
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint)
- Ability to manage multiple tasks and meet deadlines
- Strong attention to detail and accuracy
- Ability to deliver a high level of service and support to internal and external stakeholders
